Data Deletion

How to have your data deleted from Zambra, exactly what gets deleted, and how long it takes.

Version of

1. What can be deleted

Both individual records and an entire account with all of an organisation’s data can be deleted. There is no contact form inside the service — requests are made by email, as described below.

2. How to ask

Send an email to privacy@zambra.io with the subject “Data deletion” and tell us:

  • what to delete — the whole account or specific records;
  • if you are a user of the service — the email address the account was created with (sending from that address is best: it shows the account is yours);
  • if you are a client, guest or supplier whose data was entered by someone else — the name of the organisation or the person who worked with you, so we can find the record.

3. How we verify it is you

If the email comes from the account address, that is enough. If it comes from another address we will ask for confirmation — otherwise deletion could be used to damage someone else’s business.

If your data was entered by a service provider, they are the controller, not us. We will pass the request to them and perform the deletion technically. Contacting them directly also works and is usually faster.

4. Timing

  • Reply to the request — within 30 days at the latest, usually much sooner.
  • Deletion from the live database — as soon as we have confirmed the request.
  • Disappearance from backups — within 14 days at the latest: backups are kept for 14 days and overwritten in rotation. We will not restore deleted data from a backup.

5. What exactly is deleted

When an account and organisation are deleted: the account record and sessions, contacts and their contact channels, events and booked dates, payments, venues, suppliers and private ratings, notes. Activity-log entries are anonymised — the link to the person is removed.

Voice recordings need no deletion: they are not stored, and are erased immediately after transcription.

Data you have already exported or forwarded to yourself is, of course, beyond our reach.

6. What we must keep

If by the time of the request there are documents Lithuanian law requires us to retain for a set period — accounting records, for example — those are kept to the minimum extent necessary and only for that purpose. Everything else is deleted.
